Seminary Relations Office
JOB DESCRIPTION
Function: Coordination of all administrative support services in the Seminary Fund Office and the informational support services for the daily operation and effectiveness of the Blackbaud Raiser’s Edge 7 database, as it relates to the ongoing development and institutional work of the Seminary Relations Office
Department: Seminary Relations Office
Supervision: Reports to the Director of the Seminary Fund
Responsibilities:
1. Seminary Fund Office Support
2. Provide support services to the Seminary Fund Office and its director by assisting in Office Coordination & Support by:
- Overseeing major projects through Project Management, such as, but not limited to: the Alum Board, Quarterly
- Direct Mail appeals, E-solicitations, annual Phonathons, Quarterly President’s Circle and Seminary Fund newsbriefs, 50th Class Anniversary, Senior Challenge, Employee Campaign, and Donor Cultivation Plan
- Preparing correspondence, reports, and drafts and recording documentation
- Maintaining confidential donor files within the overall Seminary Relations Office filing system guidelines
- Scheduling and coordinating the Seminary Office calendar, meetings, conference calls, and appointments
- Maintaining and tracking quarterly updates of the Seminary Fund Office goals and other financial reporting as needed
- Processing billing and maintains budget records and office files
- Overseeing Raiser’s Edge documentation for Bookends and Identifiable Scholarships in conjunction with the Registrar’s Office
- Creating and maintaining documentation on operational use processes of the constituent database system-including instructions and screen shots
2.) Raiser’s Edge
- Maintain biographical database information on friends and donors in the Seminary’s donor database. Provide accurate database queries and reports that supply the information required to make informed programmatic decisions.
- Data Entry—Entering, updating, and editing constituent data housed in the Raiser’s Edge donor software system, specifically contact information (including mailing addresses, phone numbers, e-mail, and website addresses), personal background and family information, business information, appropriate donor/prospect information, and other data as necessary
- Database Maintenance—Providing support to the larger Seminary Relations Office in the creation, processing, and maintenance of queries, exports, reports, profiles, merge, and data files necessary to provide needed financial and statistical reports
- Seminary Mailings—Ensuring that mailing data files are prepared and processed in a timely, efficient, and cost-effective manner to meet the needs of the Seminary Relations Office and the entire Seminary community
Report Inventory—Creating and coordinating a portfolio of shared production, financial, and statistical reports, as well as ad hoc reports, for the Seminary Relations Office - Queries—Developing queries/lists/exports; checking data for accuracy; and tracking effectiveness of mailings and appeals
- Creating and providing advanced queries and reporting to extract information from the database
- Configuring and processing global data; conducting global changes and or data imports to maintain data
- Creating new codes on an ongoing basis and works with other staff to ensure proper coding of information
- Database Support—Advising Seminary Relations Office staff with respect to data entry and maintenance and providing support to Communications Office with PR and news distributions, and production of the campus directory, and Seminary calendar
- Data Mining—Carrying out data mining projects in order to facilitate advancement work
3.) Other Duties—Perform other responsibilities as assigned by the Director of the Seminary Fund and/or the Vice President for Seminary Relations
Experience and Qualifications:
- Two-three years secretarial experience and at least two years administrative office experience
- College undergraduate diploma or equivalent
- Proficiency with Microsoft Office 2007 or like suite software an absolute base requirement
- Experience with Blackbaud Raiser’s Edge 7 strongly desired
- Knowledge of database platforms and reporting tools, such as Crystal Reports, strongly desired
- Proficiency in Microsoft Access is added bonus

- Ability to work independently, to be detail-oriented, adaptable and accurate
- Aptitude for repetitive data entry and Internet-based research
- Ability to appropriately handle highly sensitive personal and confidential information regarding Seminary constituents
