Position Summary:

The Communication and Outreach Coordinator is responsible for developing and executing strategic communication plans, serving as the primary volunteer contact for all Harbor House programs and maintaining all records of donations in the database. All efforts shall be incorporated with the services and the programs Harbor House of Louisville, Inc., offers. The Communications and Outreach Coordinator will work closely with the Assistant Director of Development and Special Events Coordinator giving special attention to timeliness and quality of all work and assisting the Development Department overall as needed. The Communication and Outreach Coordinator reports to the Assistant Director of Development.

Communications: 40%

Volunteer Coordinator: 40%

Database Management: 20%

Essential Functions:

  • Develops and executes strategic communications plans, which include message development, web presence, advocacy and social media to educate and motivate target audiences
  • Researches and writes inspiring, compelling, and engaging stories for web and print publications
  • Updates content on Harbor House website and social media pages
  • Manages multiple projects and communications deliverables consistent with strategic plans and expected timelines in addition to successfully handling unanticipated requests
  • Remains current with new and emerging strategies, technologies, and tools that can improve the strategic communications efforts
  • Develops and implements volunteer programs in support of Harbor House services
  • Recruits volunteers for support work and recommend assignments that will make the best use of individual talents
  • Develops training programs for volunteers and Harbor House staff who use volunteers
  • Reviews proposed departmental and program policies and procedures for issues related to volunteers
  • Maintains volunteer time records and applications
  • Works with the Special Events Coordinator to plan, organize and implement events and activities
  • Promotes public awareness of gift giving; as well as its needs for volunteers, by such means as sending out announcements and making public appearances
  • Serves on task forces and committees related to the development department
  • Cultivates, solicits and tracks fundraising prospects in a manner consistent with approved fundraising goals; via requests for individual, corporate, or foundation donations
  • Receives and acknowledges gifts in conformance with policies
  • Maintains public contacts in the community and public/private sectors in order to implement fundraising strategies
  • Provide donors with information regarding the use of their gift(s)
  • Coordinates, maintains and expands a database of donors and matching gifts
  • Assists in the development of fundraising strategies and informational programs to encourage support of programs
  • Coordinate with the Mail Department on the preparation and printing needs of development materials being sent out to the public
  • Read professional literature and keep up to date with the newest fundraising/volunteer technologies and information
  • Provide monthly report of all activities at Harbor House so that we can share this information with donors, sponsors, volunteers, and staff
  • Participate in staff meetings and fundraising activities
  • Demonstrate continuous effort to improve operations, decrease turnaround times, streamline work processes, and work cooperatively and jointly to provide quality seamless customer service
  • Other duties as assigned by Assistant Director of Development and/or Chief Executive Officer

Additional Requirements:

  • Individuals must be physically capable of operating a vehicle safely, and possess a valid driver’s license
  • Ability to lift up to 50lbs

Job Requirements:



  • Two years of experience in professional fund raising, communications, professional volunteer management, or public relations or a bachelor’s degree in liberal arts, public relations, marketing/communications or a related field.
  • Microsoft Office/Internet navigation abilities and previous fundraising software experience, minimum of two years Communications or Volunteer Management experience. Availability to work nights and weekends as needed.

Knowledge of:

  • Communication and marketing principles
  • Principles and practices of volunteer management
  • Methods and techniques of raising funds for cultural and educational institutions or social service agencies
