INTRODUCTION

The Kentucky Diabetes Camp for Children, Inc. dba Camp Hendon serves children with Type 1 Diabetes in the Kentucky region through educational summer camp and other year round programming. Type 1 Diabetes (T1D) is a chronic, autoimmune disorder that is not the result of lifestyle or eating habits. During two weeks of summer camp every year, Camp Hendon equips children with the skills they need to manage their diabetes with more independence while also providing a community of peer support. Our mission is to give children with diabetes life-changing experiences, empowering them to take control of their journey. Since 2012, Camp Hendon has served over 800 children with T1D between the ages of 8 to 17. Camp Hendon seeks to achieve sustainability through a variety of fund development efforts. Camp Hendon is currently under a matching grant challenge through the Lift a Life Foundation. From January 1 – December 31, 2019 they will match all contributions from new donors, dollar-for-dollar, up to $100,000. Accomplishing this fundraising challenge is our primary fund-development goal for 2019.

Camp Hendon’s operating budget for Fiscal Year 2019 is $326,000. In 2018 we served 162 children with Type 1 Diabetes at a cost of approximately $1,775 per camper. With this in mind, we have recently identified fundraising as our greatest organizational priority for 2019. We are requesting proposals from fundraising and grant writing consultants to assist in accomplishing our fundraising goals for 2019. Through this Request for Proposals (RFP), Camp Hendon seeks bidders to provide the services and specifications as outlined below. The Consultant will work with board members, senior management, and other key stakeholders in building fundraising capacity and diversifying sources of funds.

Job Requirements:

PROPOSED SCOPE OF SERVICES

·Rework our existing Case for Support (Case Statement)

·Create a fund development plan, and complete prospect research, incorporating individual, foundation, and corporate prospects, with the assistance of the Executive Director and Board of Directors

·Research and compilation of appropriate grants for which to apply

oCamp Hendon will provide access to MetaSoft Systems Foundation Search database

·Primary writing and submission of grants

oExecutive Director, Board, and select volunteers are willing to assist with any grantwriting tasks that can be delegated

·Strong focus on cultivating new donor relationships in an effort to successfully carry out the $100,000 matching grant challenge

·Successful execution of the project holds the potential for additional contract employment, at the discretion of Camp Hendon

DELIVERABLES

All deliverables must be provided to Camp Hendon in hard copy and electronic format, suitable for ongoing customization. Deliverables include:

·Completed Case for Support

·Completed written fund development plan with written summary of prospect search results

·Drafts and final copies of all submitted grants/proposals

·User-friendly tracking system for donors, grants, prospects, and other aspects of the completed fund development plan

PROPOSAL SUBMISSION REQUIREMENTS

 Candidates must submit a complete proposal packet on or before midnight on November 21, 2018. A complete packet includes:

·        Cover Letter

·        Resume or CV including relevant experience/qualifications and client listings/references

·        History of successful grants obtained, and field in which the organizations worked

·        A sample of a grant you have already completed for another client, or similar writing sample

·        A sample of a development plan you’ve worked on, or a similar outline

·        Two (2) detailed cost proposals including:

1.      The scope of work you would be able to complete on a budget of approximately $6,000 by 9/30/2019, proposed schedule for the project, and approximate number and theoretical monetary value of grants you expect to be able to apply for per month/quarter*

2.      The scope of work you would be able to complete on a budget of approximately $10,000 by 9/30/2019, proposed schedule for the project, and approximate number and theoretical monetary value of grants you expect to be able to apply for per month/quarter*

 

*We understand that not all proposals will be funded

 

 SELECTION PROCESS & TIMELINE

Camp Hendon will select up to three proposals for consideration. References will be contacted and interviews will be scheduled with the finalists. Camp Hendon will select one candidate and initiate the agreed-upon services. The estimated timeline is as follows:

·        October 30, 2018: Distribution of RFP

·        November 21, 2018: Complete proposal packets submitted electronically by midnight to mcooper@camphendon.org

·        November 26 - 27, 2018 (estimated): Review of proposals

·        November 28 – 29, 2018 (estimated): Short list identified, references contacted, interviews scheduled with finalists

·        December 13 – 19, 2018 (estimated): Interviews conducted

·        December 21, 2018 (estimated): Decision and selection
